BOOKING DETAILS

The accuracy of the booking details for your child and the camp dates is yours while making the booking. In some circumstances changes maybe made. This is subject to availability


MEDICAL INFORMATION

You are responsible for accurate completion of  the booking form to ensure coaches at the camp are fully aware of any activities a child may not be able to take part in, the reason why, and any medical, physical or behavioural problems which coaches should consider. Confirmation of this a second time will occur at sign in on the day. All information given will be treated in confidence. All medications that maybe required have to be handed  to the Camp Leader before the camp begins.


WHAT HAPPENS IF WEATHER PREVENTS THE CAMP TAKING PLACE

 Camps will always go ahead in wet weather.  If severe weather occurs such as torrential rain or snow you will be informed the camp is cancelled and a refund will be given.


PAYMENT 

Payment for a place must be made at the same time of booking. Confirmation of place is dependent on full payment being received. 


CANCELLATIONS AND REFUNDS

If your child is unable to attend the booked date and you have to cancel the booking, 2 weeks notice must be given in order to receive a refund. A cancellation that occurs on the day of the camp due to injury, illness or any other reason will not result in a refund or credit. Stripe refund payments may take 5-10 days to take place.


ILLNESS AND INJURY

If illness or injury prevents your child from attending a camp it must be validated by a doctor's note. A full refund will be given for the days they were unable to attend. In the absence of a Doctors note no refund will be issued


ATTENDANCE REGISTRATION

All children who are in school year 6 or below must be signed in and signed out daily at camps by a nominated adult. Those children in year 7 or above may sign themselves in or out of the camps at the appropiate times with thier coach. CHILD PROTECTION

Limitless Camps Lions have a duty to report if a suspicion about a child under the care of the camp may be suffering from any form of abuse. This also applies if a child makes a disclosure about abuse while present at the camp.  In this event our coaches will follow the Limitless Camps Safeguarding Policy.  Our safeguarding policy can be found on this website.


DISCIPLINARY PROCEDURES

On occasion, coaches will act to ensure the safety, enjoyment of children  and quality of delivery is maintained.  The camps are designed to be fun and engaging for all. All children should feel they are valued and they can express themselves.  Any behaviour deemed to be unsatisfactory towards other children, coaches or the delivery of the sessions will be acted upon. If  disruptive behaviour occurs, a child will be given a verbal warning with the coach explaining what and how their actions or behaviour must change. If a second incident occurs the child will be asked to sit out until the coach has a moment to further explain and reinforce what is expected. The consequence of a third occurrence will also be clearly stated.  On the third occasion of disruptive behaviour the child will sit out the rest of the session.  An Anti-Bullying Policy in place, this can be found on the policy page of our website.


LIABILITY

Limitless Camps and associated partners do not accept liability or responsibility for any personal injury or death of any participant during the camp unless directly caused by the proven negligence of  the provider.


PHOTOGRAPHY

During the booking process for the camp you  will have the option to give permission for photos or videos to be taken. Limitless Camps will not permit photographs or video of young people to be taken without the consent of the parents/carers of the child. This is in line with our safeguarding policy. Images maybe used for marketing and promotional purposes of Limitless Camps and associated partners. Images will be used solely for the purposes they are intended. You may choose to opt out of having your child's photograph used on the booking page.

Safeguarding policy prevents any parent from taking video or photographs on the campsite. Parents or other adults found to be doing this will be asked to show the material has been completely deleted from the device.


DATA PROTECTION

All data collected is treated in accordance with Data protection Act 1998 . For the process of booking, Limitless Camps need to collect some personal details such as names, ages, contact information and any applicable medical issues. You must have the necessary permission to pass on the personal details of all the children for whom you are making a booking. Some details will be held for future marketing purposes of Limitless Camps or associated partners, for example personal details of attendees and parents. These details may be used to share information about future camps or to make contact with persons concerned. The data will be controlled and restricted to the event manager in the first instance. Data will be shared with camp employees during the camp dates to allow processes such as bookings, taking registers and contact with parents to happen. Once the camp is finished all paper copies of personal details will be destroyed. Following a camp, electronic copies of information and personal details (as listed previously) will be retained for camp records. This can only be accessed by the event manager. You can request to see any of your  information held by Limitless camps at any time. You can opt out of any marketing material during booking.


COMPLAINTS

The camps are designed to be fun and engaging for all. Limitless Camps understands that the experience your child has is a lasting memory. All complaints will be taken very seriously and dealt with swiftly as possible. In the first instance we wish to resolve any issue you have right away. Please speak to the Camp Leader or Event Manager on the day. On the majority of occasions an issue can be resolved right away and we are invested in this happening for you. Although we will do our best to look into any matter it is more difficult to do so after the camp has ended.

Please feel free to talk to the Camp leader as soon as possible if you have any concerns. If your child is still at camp and the problem persists please contact our Event Manager or Safeguarding Officer. 


CANCELLATION OR ALTERATIONS OF CAMPS

Limitless Camps reserve the right to cancel any camp if unforeseen circumstances occur or the camp is not deemed viable to take place. Full refunds will be provided if Limitless Camps are required to cancel a camp. Wherever possible Limitless Camps will try to find an alternative if your preferences can not be accommodated. In all cases where possible Limitless Camps will contact those concerned in a timely manner.
